Job Description

As an Administrative Agent, you will play a key role in supporting our daily logistics and customs operations. You will handle documentation, coordinate with customs authorities, and ensure smooth administrative processing of international shipments.

Key Responsibilities

  • Prepare and verify import/export documentation (invoices, packing lists, customs declarations)
  • Liaise with customs authorities and internal clearance agents
  • Track shipments and update status in our internal systems
  • Communicate with clients regarding documentation and procedural requirements
  • Maintain accurate records and ensure compliance with EU customs regulations
  • Assist with warehouse-related administrative follow-ups (inventory, inspection coordination)
  • Support the accounting team with invoice processing and document archiving

Profile & Skills

  • Proven experience in administrative work, ideally in a logistics, customs, or freight forwarding environment
  • Strong organizational skills and attention to detail
  • Ability to work under deadlines and manage multiple priorities
  • Proficient in Microsoft Office (especially Excel and Outlook)
  • Comfortable working in a multilingual environment (French or Dutch required, English is a strong asset; Chinese is a plus)
  • Familiarity with customs or transport documentation is an advantage
